Our commitment
Modern Age is a specialist digital consultancy. We work with complex organisations, often in highly regulated industries, and we take the responsibilities that come with that seriously.
This Code of Conduct sets out the standards we hold ourselves to across every engagement. It applies to everyone working under the Modern Age banner: employees, contractors, subcontractors, and any collaborators engaged to deliver work on our behalf. Anyone joining a Modern Age engagement is expected to understand and follow this Code.
Professional standards
We deliver work to the highest standard we can. That means being honest about what we can and can't do, meeting the commitments we make, and raising concerns early when something isn't going to plan.
We only bill for work that has been done. We don't inflate estimates, pad timesheets, or charge for internal administration. If we've agreed a scope and a price, we stand by it.
Integrity and ethical conduct
We act with honesty and integrity in all our business dealings. We do not engage in any form of bribery, corruption, or fraud, whether directly or through third parties.
We comply with all applicable anti-bribery and anti-corruption legislation, including the UK Bribery Act 2010 and, where relevant to our client engagements, the US Foreign Corrupt Practices Act. We do not offer, promise, give, or accept any bribes, facilitation payments, or improper inducements.
We do not make payments or offer anything of value to any person, including government officials, healthcare professionals, or client employees, in order to influence a decision or gain an improper advantage.
Financial oversight
All company expenditure is approved by the Director. There are no delegated payment authorities. Business transactions are conducted through a single monitored business account, and any unusual or unexpected transactions are investigated immediately.
Financial records are maintained and reviewed by the company's accountant as part of the annual accounts process. These controls ensure that company funds are not used for improper purposes, including bribery, corruption, or undisclosed payments to third parties.
Conflicts of interest
We are transparent about any situation that could create a conflict of interest. If a potential conflict arises between our interests and those of a client, we will disclose it promptly and work with the client to resolve it appropriately.
We do not use confidential client information for personal gain or for the benefit of other clients.
Confidentiality
We treat all client information as confidential. Client materials, data, strategies, and work product are not disclosed to any third party without explicit written consent, unless required by law.
Where subcontractors or collaborators are engaged on a client project, they are bound by equivalent confidentiality obligations before being given access to any client information.
This obligation continues after the conclusion of any engagement.
Data protection
We are committed to protecting the personal data we handle in the course of our work. We comply with the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.
We collect and process personal data only where there is a lawful basis to do so, keep it secure, and do not retain it beyond the period necessary for the purpose it was collected. Everyone working on a Modern Age engagement is required to handle personal data in accordance with these principles and any client-specific data handling requirements.
Where we engage subcontractors or collaborators who may have access to personal data, we ensure appropriate agreements are in place to protect that data.
Fair dealing
We compete fairly and deal honestly with clients, suppliers, and partners. We do not misrepresent our capabilities, experience, or the nature of our services.
We respect the intellectual property of others and ensure our work does not infringe third-party rights.
Human rights and modern slavery
We are committed to conducting business in a way that respects human rights. We do not tolerate any form of modern slavery, forced labour, or human trafficking within our business or supply chain.
Although Modern Age falls below the reporting threshold of the Modern Slavery Act 2015, we take these obligations seriously and expect the same of anyone we work with.
Health, safety, and wellbeing
We maintain a safe working environment and comply with applicable health and safety legislation. As a remote-first consultancy, this includes taking reasonable steps to ensure safe and healthy working practices for everyone involved in delivering our work.
Raising concerns
We want people to feel able to speak up. Anyone working with or for Modern Age, whether as a client, team member, subcontractor, or collaborator, is encouraged to raise concerns about conduct that may fall short of this Code.
Concerns can be raised with the Creative Director via the contact form at modernage.digital. All concerns will be taken seriously, handled promptly, and treated in confidence. No one will face any penalty or disadvantage for raising a genuine concern in good faith.
Review
This Code of Conduct is reviewed annually and updated as needed to reflect changes in our business, our client obligations, or applicable legislation.
